These Terms & Conditions govern your use of the CES Academy website and your participation in any course, workshop, CPD event, or clinical placement arranged through Ophthalmic Supplies and Solutions Ltd (trading as CES Academy). By registering for any activity or using this website, you agree to these terms in full.

1. About Us

Ophthalmic Supplies and Solutions Ltd (trading as CES Academy) is a company registered in England and Wales. Our registered address and company number are available on request. Our contact email is [email protected].

2. Definitions

In these Terms & Conditions:

"We", "us", "our"Ophthalmic Supplies and Solutions Ltd trading as CES Academy
"You", "participant"The individual registering for or attending an activity
"Activity"Any course, workshop, CPD event, or clinical placement offered by CES Academy
"Booking"A confirmed registration for an Activity, whether paid or unpaid
"Website"www.cesacademy.co.uk

3. Eligibility

Activities offered by CES Academy are intended for qualified or student optometrists, dispensing opticians, and other registered healthcare professionals. By booking an Activity, you confirm that:

  • You hold the professional registration(s) required for the Activity (e.g. GOC registration).
  • Your registration is current and in good standing.
  • You have disclosed any conditions or restrictions that may affect your participation.
  • You are at least 18 years of age.

4. Booking and Confirmation

A Booking is confirmed when you receive a written confirmation email from CES Academy. We reserve the right to decline or cancel a Booking at our discretion, in which case any fees paid will be refunded in full. Bookings are personal to you and may not be transferred to another individual without our prior written consent.

5. Fees and Payment

Where an Activity carries a fee, the applicable amount will be clearly stated at the time of booking. Payment is due in full at the time of booking unless otherwise agreed in writing. We accept payment by the methods stated on the booking page. All fees are quoted in pounds sterling (GBP) and, where applicable, are inclusive of VAT.

CES Academy reserves the right to change its fees at any time. Changes will not affect existing confirmed Bookings.

6. Cancellation and Refund Policy

We understand that circumstances change. Our cancellation policy is as follows:

Cancellations must be submitted in writing to [email protected]. The date of cancellation is the date we receive your written notification.

Transfers: You may transfer your Booking to a future date of the same Activity once at no charge, provided you give at least 14 days' notice. Subsequent transfers may incur an administration fee.

Non-attendance: Failure to attend without prior notice will be treated as a cancellation with less than 14 days' notice and no refund will be due.

7. Cancellation by CES Academy

We reserve the right to cancel, reschedule, or modify any Activity at any time. In the event of cancellation by us, you will receive a full refund of any fees paid. We will endeavour to give as much notice as possible and will notify you using the contact details provided at the time of booking. We are not liable for any travel, accommodation, or other costs you may have incurred in connection with the Activity.

8. Clinical Placement Terms

Clinical placements arranged through CES Academy are subject to the following additional terms:

  • Placements are subject to availability and the approval of the host clinical site. Confirmation of a placement application does not guarantee a placement start date.
  • Participants must hold valid professional indemnity insurance throughout the placement period and must provide evidence of this on request.
  • Participants must comply with the policies, procedures, and dress code of the host clinical site at all times.
  • CES Academy acts as a facilitator only. The clinical supervision and governance of the placement remains the responsibility of the host site.
  • Placements may be terminated early by the host site or by CES Academy if a participant's conduct is deemed unsatisfactory. No refund will be due in such circumstances.

9. Intellectual Property

All course materials, handouts, presentations, and other content provided during an Activity are the intellectual property of Ophthalmic Supplies and Solutions Ltd or its licensors. You may use these materials for your own personal professional development only. You may not reproduce, distribute, or share them without our prior written consent.

10. Conduct

You agree to behave professionally and respectfully towards CES Academy staff, educators, fellow participants, and patients at all times. We reserve the right to remove any participant from an Activity without refund if their conduct is deemed inappropriate, unsafe, or disruptive.

11. Liability Disclaimer

To the fullest extent permitted by law:

  • CES Academy provides educational and training activities only. Nothing in our courses, workshops, or CPD events constitutes clinical advice or replaces your professional judgement and regulatory obligations.
  • We are not liable for any loss, damage, injury, or expense arising from your participation in an Activity, including but not limited to travel costs, accommodation costs, or loss of earnings.
  • We are not liable for any indirect, consequential, or special loss or damage of any kind howsoever arising.
  • Our total liability to you in connection with any Activity shall not exceed the total fees paid by you for that Activity.

Nothing in these Terms & Conditions excludes or limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited by English law.

12. Data Protection

We process your personal data in accordance with our Privacy Policy. By making a Booking, you acknowledge that we will use your personal data to administer your participation in Activities and to send you relevant communications.

13. Governing Law

These Terms & Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising under or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

14. Changes to These Terms

We may update these Terms & Conditions from time to time. The "Last updated" date at the top of this page will be revised accordingly. The terms applicable to your Booking are those in force at the time your Booking was confirmed.
